The Bulk Import feature allows clients to populate a template for adding and updating funds in bulk.  Client User and Administrator user types have access to the Bulk Import.  This article explains the details of this feature.  At this time, the Bulk Import function is not compatible with our Workflow Module.




An important note: Bulk Import allows clients to perform mass imports of fund profile changes or additions with the assumption that the user has completed an internal check on the file.

Download Template




It is important to use the template on this tab by clicking "Download Template."  The template has a header row with column names that map to your organizations individual fields within the Fund Profile.  Please follow the guidelines summarized below in order to minimize any errors when trying to commit your import file!




> When Adding New Funds-  Any field that is required to Add/Save within the Fund Profile is required on the template for the Bulk Import.  *Please refer to image at the bottom of this article for identification of required fields.




> When Updating Funds-The GLID field needs to be populated when updating a fund.  The investment pool should NOT be populated since this field CANNOT be updated. (Note,  please refer to the knowledge base if you need help with updating an investment pool for an existing fund).  Any field that is BLANK for a fund, will not get updated.




> There is an option to clear out data within a NON-required field-  This will replace any value with blank.  For example, if you no longer need the Auxiliary ID populated for all existing funds; you can populate all funds with"NULL"in the Auxiliary ID column.  This will clear out any data for the funds imported.  




NOTE: GLID cannot be updated via the Bulk Import template.

This tab is where the user will select the file by browsing their computer and then Upload the file.




2.) File Maintenance:

This tab contains: links to the files that were successfully imported, links to the preimport files, the date the files were uploaded, the import types, the names of the users who uploaded the files, and the upload types. 




> Import File Name -Allows user to view and download all files that were successfully imported. 




> PreImport File - Allows user to download the data as it existed prior to committing the imported file. This will only return data for funds and their corresponding columns that were updated. Note, a user may use this PreImport file as an audit check as well as a roll back option(in the extreme case that a client user should NOT have committed the file to Fundriver)




> Import Date - This is a time stamp for when the file was committed. 




> Import Type - The type of data that was imported.





Error Messages: How to Find and Fix them



To navigate to the error message, scroll to the right using the scroll bar under the records table. The ERROR Column will provide a brief description of the error for the corresponding field(s). 




The user will have to fix these errors within their import file and upload again. The Bulk Import commits only when all records have NO ERRORS, as it is committing the file in whole.

Note: if your database isn’t currently using a required field, ‘None’ must be populated in those fields in order for the bulk import template to upload.

Bulk Import does not trim data values .  For example, fund category spacing needs to match exactly. There can be no extra spaces at the front or back.
